Privacy policy (GDPR)

1. Data controller

Microson SA, whose details are set out above, is the controller for the personal data collected via this site.

2. Data collected

When you use the contact form, we collect your name, email address, phone number where provided, the content of your message, and certain technical data necessary for security and anti-spam purposes, including your IP address.

3. Purposes and legal bases

The data provided is used to respond to your request, prepare a possible quote, and follow up with you regarding a project or a question about our services.

Depending on the nature of the request, this processing is based on:

• the performance of pre-contractual steps taken at your request, in accordance with Article 6(1)(b) GDPR; or
• Microson SA's legitimate interest in responding to enquiries addressed to it, in accordance with Article 6(1)(f) GDPR.

Data is neither sold nor used by third parties for independent commercial purposes.

4. Processors and recipients

Web3Forms — the contact form is routed through this provider, which acts as a processor within the meaning of the GDPR (Microson remains the controller). Data is transmitted encrypted (HTTPS) and hosted with their infrastructure providers (AWS, Cloudflare, Hetzner). Web3Forms retains submission data for a maximum of 3 years before automatic deletion. For anti-spam purposes, the visitor's IP address and email may be shared with the CleanTalk and Akismet services. Transfers outside the European Union are governed by standard contractual clauses, as part of their data processing agreement (DPA).

JotForm (Instagram posts widget) — the site uses a widget provided by JotForm to display Microson SA's public Instagram posts. When the widget loads, the visitor's browser connects to JotForm's domains and content delivery networks. JotForm may thereby process certain technical data, such as IP address, browser and device type, connection logs and the page address visited. JotForm may also use cookies or similar technologies in accordance with its own privacy policy.

JotForm is based in the United States and participates in the EU-US Data Privacy Framework. It has also appointed Prighter as its representative for data subjects in the European Union.

Infomaniak (site hosting) — the site is hosted by Infomaniak, a Swiss company. Switzerland benefits from an adequacy decision by the European Commission: data transfers to Switzerland are considered to offer a level of protection equivalent to that of the European Union, with no additional safeguards required.

5. Retention period

Messages and contact details received are kept for as long as necessary to process the request and, at most, for three years after the last meaningful exchange. Longer retention may apply where necessary for the performance of a contract, compliance with a legal obligation, or the establishment, exercise or defence of legal claims. See also the retention period applied by Web3Forms in section 4.

6. Your rights

Under the General Data Protection Regulation (GDPR), you have the right to access, rectify, erase, restrict and object to the processing of your data, as well as a right to data portability. To exercise these rights, contact us at info@microson.be. You also have the right to lodge a complaint with the Belgian Data Protection Authority (autoriteprotectiondonnees.be).

7. Cookies and external content

This site does not, on its own behalf, deposit any advertising or audience-measurement cookies.

Submitting the contact form takes place via a secure network call to Web3Forms and does not require any third-party cookie to be deposited on the visitor's device.

The Instagram posts widget provided by JotForm constitutes external content. No connection to JotForm or its content delivery networks occurs until you click the "Show our Instagram posts" button on the home page. This choice is not remembered (no cookie, no local storage): you are asked again on every visit. After clicking, the browser connects to JotForm's services, which may process technical data and deposit cookies in accordance with their own policy. An alternative is offered at all times: a direct link to Microson SA's Instagram account, which involves no connection to JotForm.
